This policy describes how SimplifyThis LLC treats personal information when you visit simplifythis.com or use services offered at www.simplifythis.com.

Information Collection:

  • We ask for some personal information when you create an account with SimplifyThis.com. This information includes your name, contact information, email address, and a password which is used to protect your account from unauthorized access.

  • When you use services at SimplifyThis.com, our servers store, maintain, and process information that you provide while using the service, including but not limited to your invoices, information about your customers, and information about your products and services.

  • When you visit SimplifyThis.com or use services offered at SimplifyThis.com, we record certain information about your visit to SimplifyThis.com and about your use of the services there. This information may include account activity, log-in time, browser type, IP-address, date and time of access and referrer URL.

  • We collect voluntary information provided by visitors to our site and by our customers, such as a survey.

Information Use:

The information we collect is used to improve the usability and quality of our services. We do not share or sell this information to other organizations for commercial purposes, except to provide products or services you have requested, or under the following circumstances:

  • It is necessary to share information in order to investigate, prevent, or take action regarding illegal activities, suspected fraud, situations involving potential threats to the physical safety of any person, violations of Terms of Use for SimplifyThis.com services, compliance with subpoenas or as otherwise required by law.

Use of Cookies:

  • When you use services at SimplifyThis.com, we store some information on your computer. This information is stored in the form of a "cookie" or a similar file. A cookie is a small amount of data which often includes an anonymous unique identifier that is sent to your browser from a web site's computer and stored on your computer's hard drive.

  • Cookies are required for the use of SimplifyThis.com services.

  • We use cookies only to help you navigate and use SimplifyThis.com services and to record information about your current session. Our cookies expire after a certain period of time.

Data Storage:

  • SimplifyThis LLC uses third party vendors and hosting partners to provide the necessary hardware, software, networking, storage, and related technology required to run the services.

  • While SimplifyThis LLC owns the application code, databases, and all rights to the applications, you retain all rights to your data.

Data Protection and Security:

  • All data is transmitted over encrypted connections using TLS 1.2 or higher (HTTPS).

  • Data is stored on Google Cloud Platform and is encrypted at rest by default. Google OAuth refresh tokens are additionally encrypted at the application layer with a dedicated key before they are stored.

  • Access to production data is restricted to authorized personnel on a least-privilege basis, and users authenticate through Firebase Authentication.

  • Our services run on Google Cloud Platform, which maintains SOC 2, ISO 27001, and other industry security certifications.

Google User Data - Retention and Deletion:

  • When you connect your Google Calendar, we store only the minimum data required to provide calendar synchronization: your Google OAuth tokens and your selected calendar identifier. We write your SimplifyThis appointments to your connected calendar and read your free/busy availability to check for scheduling conflicts. Your free/busy availability is used only at the time of the check and is not stored, and we do not store the contents of your calendar events.

  • Retention: your Google OAuth tokens are retained only for as long as your Google Calendar remains connected to SimplifyThis.

  • Deletion: your Google data is deleted immediately when you disconnect Google Calendar within SimplifyThis, when you delete your SimplifyThis account or staff record, or when you revoke SimplifyThis's access from your Google Account. On disconnection, the stored OAuth tokens are erased from our systems.

  • You may revoke SimplifyThis's access to your Google data at any time at https://myaccount.google.com/permissions.

Payments and Communications:

  • Card payments are processed by Stripe. We do not store your full card numbers; Stripe handles card data under its own terms and PCI-DSS standards. We retain payment records (such as amounts and status) needed for billing.

  • Transactional messages (such as appointment reminders and receipts) and, where you have consented, business updates are sent by email via Resend and by SMS via Twilio. These providers process only the information needed to deliver messages on a business's behalf.

  • These companies are service providers acting on our and the business's behalf. We do not sell your personal information.

Changes

  • SimplifyThis LLC may periodically update or change this policy.

  • The most recent version of this policy will be available at www.simplifythis.com/privacy. We will notify you about significant changes to this policy by sending a notice to the email address that you specified in your account.

  • Your continued use of services offered at SimplifyThis.com after a change shall constitute your acceptance of changes to this policy.
